Booking Terms & Conditions

These Booking Terms & Conditions ("Booking Terms") supplement our general Terms and Conditions and apply specifically to all travel bookings made through tripcabinet.com, operated by Tripcabinet Travel Private Limited (CIN: U52291KA2023PTC179561).
By making a booking on our platform, you agree to these Booking Terms in addition to our general Terms and Conditions, Privacy Policy, and Refund & Cancellation Policy.
1. Booking Process
1.1 How to Book
Bookings can be made through:

A booking is considered confirmed only when:
- You receive a written confirmation email from TripCabinet or the vendor
- The required deposit or full payment has been received and processed
- All traveler details have been submitted and verified
- Availability has been confirmed by the tour operator or service provider
1.3 Provisional Bookings
Some packages may allow provisional bookings (hold without payment) for a limited period (typically 24-72 hours). If payment is not received within the specified timeframe, the provisional booking will be automatically canceled without notice.
2. Pricing & Payment Terms
2.1 Price Display
- All prices are displayed in Indian Rupees (INR) unless otherwise stated
- Prices are quoted per person unless specified as "per group" or "per family"
- Applicable taxes (GST) are included in the displayed price unless stated otherwise
- Currency conversion rates are indicative and subject to change
2.2 Price Guarantee
Prices are subject to change until a booking is confirmed. Once a booking is confirmed and paid, the price is guaranteed and will not increase except in the following circumstances:
- Government-imposed tax increases
- Fuel surcharges levied by airlines or transport providers
- Significant currency fluctuations (beyond 10% variation)
- Force majeure events affecting operational costs
In such cases, customers will be notified immediately and have the option to cancel with a full refund if the price increase exceeds 10% of the original booking amount.
2.3 Payment Schedule
Standard payment terms (unless otherwise specified in the package details):
- Deposit: 25-50% of the total booking amount at the time of booking
- Balance Payment: Due 30 days prior to departure (or as specified)
- Last-Minute Bookings: Full payment required for bookings made within 30 days of departure
2.4 Accepted Payment Methods
TripCabinet accepts payments via:
- Credit/Debit Cards (Visa, MasterCard, Amex, RuPay)
- Net Banking (all major Indian banks)
- UPI (Google Pay, PhonePe, Paytm, etc.)
- Digital Wallets (Paytm, MobiKwik, etc.)
- Bank Transfer (NEFT/RTGS/IMPS)
- International payment gateways (PayPal, Stripe, etc.) for overseas customers
2.5 Payment Failures
If a scheduled payment is not received by the due date, TripCabinet reserves the right to:
- Cancel the booking without notice
- Charge late payment fees as per vendor policies
- Forfeit the deposit amount
3. Traveler Information Requirements
3.1 Mandatory Details
Customers must provide accurate information for all travelers, including:
- Full name (as per passport/government-issued ID)
- Date of birth
- Nationality
- Passport number, issue date, and expiry date (for international travel)
- Contact details (mobile number and email)
- Dietary restrictions, allergies, or medical conditions
- Special requests (wheelchair access, room preferences, etc.)
3.2 Accuracy of Information
Customers are solely responsible for ensuring all information provided is accurate and matches official travel documents. TripCabinet and vendors shall not be liable for:
- Denied boarding due to name mismatches
- Visa rejections due to incorrect passport details
- Additional fees charged by airlines for name corrections
- Cancellations resulting from incomplete or inaccurate information
4. Travel Documents
4.1 Passport Requirements
For international travel, passports must:
- Be valid for at least 6 months from the date of return
- Have at least two blank pages for immigration stamps
- Be in good physical condition (not damaged or water-stained)
4.2 Visa Requirements
- It is the customer's responsibility to obtain all necessary visas, permits, and entry documentation
- TripCabinet may offer visa assistance services, but we do not guarantee visa approval
- Visa rejections do not entitle customers to a full refund (see Refund Policy)
- Visa processing timelines vary by country; customers should apply well in advance
4.3 Health & Vaccination
Certain destinations require vaccinations or health certificates (e.g., yellow fever, COVID-19). Customers must check with embassies or health authorities and comply with all health requirements. TripCabinet is not responsible for denied entry due to health documentation issues.
5. Age & Eligibility Restrictions
5.1 Minimum Age
- Travelers under 18 years of age must be accompanied by an adult guardian
- Some adventure tours may have minimum age requirements (e.g., 12+ or 16+)
- Certain activities (e.g., scuba diving, bungee jumping) may require age and health declarations
5.2 Senior Travelers
Some tours involve moderate to strenuous physical activity. Senior travelers (60+) should consult with their physician before booking adventure or trekking tours and may be required to sign a health waiver.
5.3 Pregnant Travelers
Most airlines and cruise operators have restrictions on pregnant travelers (typically after 28-32 weeks). Customers should check with the airline/cruise provider and consult their doctor before booking.
6. Group Bookings
6.1 Group Definition
A group booking is defined as 10 or more travelers booking together under a single reservation.
6.2 Group Discounts
Group bookings may be eligible for discounts (subject to vendor policies). Group rates are quoted separately and require advance booking.
6.3 Group Organizer Responsibilities
The group organizer is responsible for:
- Collecting and submitting accurate traveler details
- Coordinating payments from all group members
- Communicating booking terms and policies to all participants
- Managing any amendments or cancellations within the group
7. Special Requests & Customizations
7.1 Special Requests
Customers may request special accommodations such as:
- Room preferences (twin bed, king bed, sea view, etc.)
- Dietary requirements (vegetarian, vegan, halal, gluten-free, etc.)
- Mobility assistance (wheelchair access, ground floor rooms, etc.)
- Celebration arrangements (honeymoon, anniversary, birthday, etc.)
Important: Special requests are forwarded to vendors but are not guaranteed. TripCabinet will make reasonable efforts but cannot be held liable if a special request cannot be fulfilled.
7.2 Custom Itineraries
TripCabinet offers tailor-made itineraries for individual travelers, families, and groups. Custom packages require advance planning (typically 30-60 days) and are priced separately based on specific requirements.
8. Amendments & Changes
8.1 Modification Requests
Requests to amend a confirmed booking must be submitted in writing at least 30 days before departure. Amendment fees apply as follows:
- Name changes: ₹500 - ₹2,000 per person
- Date changes: Subject to availability and fare differences
- Destination changes: Treated as cancellation + new booking
8.2 Vendor Restrictions
Some vendors (airlines, hotels, cruise operators) do not permit amendments after booking. In such cases, cancellation and rebooking may be the only option, subject to applicable cancellation charges.
9. Travel Insurance
9.1 Recommendation
TripCabinet strongly recommends that all customers purchase comprehensive travel insurance covering:
- Trip cancellation and interruption
- Medical emergencies and evacuation
- Baggage loss or delay
- Personal accident and liability
- Adventure activity coverage (if applicable)
9.2 Non-Liability
TripCabinet does not sell travel insurance directly. Customers may purchase insurance from third-party providers. TripCabinet shall not be liable for any losses or expenses that could have been covered by adequate travel insurance.
10. Force Majeure & Liability Limitations
10.1 Events Beyond Control
TripCabinet shall not be liable for delays, cancellations, or service disruptions caused by:
- Natural disasters (earthquakes, floods, hurricanes, tsunamis)
- Pandemics or health emergencies
- War, terrorism, or political unrest
- Strikes, riots, or labor disputes
- Government restrictions or travel bans
- Airline or transport operator failures
10.2 Third-Party Suppliers
TripCabinet acts as an intermediary between customers and third-party vendors (airlines, hotels, tour operators). We are not liable for the acts, omissions, or negligence of these suppliers. All claims related to service quality should be directed to the respective supplier.
11. Baggage & Personal Belongings
- Customers are responsible for their own baggage and personal belongings throughout the trip
- Baggage allowances are determined by airlines and transport providers (not by TripCabinet)
- Lost or damaged baggage should be reported immediately to the airline or hotel
- TripCabinet is not liable for lost, stolen, or damaged personal items
12. Conduct & Behavior
12.1 Expected Conduct
Customers must:
- Respect local laws, customs, and cultural sensitivities
- Follow the instructions of tour guides and local authorities
- Not engage in illegal activities or behavior that endangers others
- Treat fellow travelers, vendors, and local communities with respect
12.2 Right to Refuse Service
TripCabinet and vendors reserve the right to refuse or terminate service to any customer whose behavior is deemed:
- Disruptive, abusive, or threatening
- Dangerous to themselves or others
- In violation of local laws or tour policies
- Under the influence of alcohol or drugs to a degree that impacts the group experience
No refund will be provided in such cases.
13. Complaints & Feedback
13.1 During the Trip
If you encounter any issues during your trip, please notify the tour guide, vendor, or TripCabinet customer support immediately. Most issues can be resolved on-site when reported promptly.
13.2 Post-Trip Complaints
Formal complaints must be submitted in writing to [email protected] within 30 days of trip completion. Include:
- Booking reference number
- Detailed description of the issue
- Supporting evidence (photos, receipts, correspondence)
- Desired resolution
We will investigate and respond within 14 business days.
14. Governing Law & Dispute Resolution
These Booking Terms are governed by the laws of India. Any disputes arising from bookings shall be resolved in accordance with our general Terms and Conditions, with jurisdiction in Bangalore, Karnataka.
